360 Talent Solutions Ltd is a Recruitment and Human Resource Agency.  As part of any recruitment process, Our Company collects and processes personal data relating to job applicants.  Our Company is committed to being transparent about how it collects and uses that data and to meeting its data protection obligations.

You directly provide Our Company with most of the data we collect. We collect data and process data when you:

  • Voluntarily upload documents or provide feedback on any of our message boards or via email;

    • If you have agreed to receive emails from us, you may always opt out at a later date;
    • You have the right at any time to stop Our Company from contacting you;

Our Company needs to process data to take steps at your request prior to entering into a contract with you. We may also need to process your data to assist our clients when entering into a contract with you.

In some cases, Our Company needs to process data to ensure that we are complying with its legal obligations. For example, it is mandatory to check a successful applicant’s eligibility to work before employment starts with one of our clients.

Our Company has a legitimate interest in processing personal data during the recruitment process and for keeping records of the process. Processing data from job applicants allows us to manage the recruitment process, assess and confirm a candidate’s suitability for employment with our clients. Our Company may also need to process data from job applicants to respond to and defend against legal claims.

If your application is unsuccessful, Our Company may keep your personal data on file in case there are future employment opportunities for which you may be suited.  You are free to withdraw your consent at any time.

How do we store your data?

Our Company securely stores your data on our company internal database.

Our Company takes the security of your data seriously. We have internal policies and controls in place to ensure that your data is not lost, accidentally destroyed, misused, or disclosed, and is not accessed except by our employees in the proper performance of their duties.

 

Who has access to your data?

Your information may be shared internally for the purposes of the recruitment exercise.

Your information will be shared with our clients for the purposes of the recruitment exercise. As a recruitment agency, we must share personal data with our clients in order to carry out the recruitment process. This information will only be shared with your given consent, and you are entitled to withdraw your consent at any time throughout the process.

Except for our clients, we will not share your data with third parties. If our client has submitted an offer for employment, we may then share your data with former employers to obtain references for you, employment background check providers to obtain necessary background checks. This process will only take place if our client submits such a request.



How long does Our Company keep data?

If your application is unsuccessful upon initial screening, the organisation will hold on to your data for up to 1 year.

If your application is unsuccessful after entering the recruitment process, Our Company will hold your data on file but this data will not be acted upon unless instructed otherwise. As one of your rights, you can require the organisation to delete the data we have on record.

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your file (electronic) on our Customer Relationship Management system and retained. As before, you can require the organisation to delete the data we have on record.


What if you do not provide personal data?

You are under no statutory or contractual obligation to provide data to Our Company during the recruitment process. However, if you do not provide the information, we may not be able to process your application properly or at all.

 

What are your data protection rights?

Our Company would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

  • The right to access– You have the right to request Our Company for copies of your personal data. We may charge you a small fee for this service;
  • The right to rectification– You have the right to request that Our Company correct any information you believe is inaccurate. You also have the right to request Our Company to complete information you believe is incomplete;
  • The right to erasure– You have the right to request that Our Company erase your personal data, under certain conditions;
  • The right to restrict processing– You have the right to request that Our Company restrict the processing of your personal data, under certain conditions;
  • The right to object to processing– You have the right to object to Our Company’s processing of your personal data, under certain conditions;
  • The right to data portability– You have the right to request that Our Company transfer the data that we have collected to another organization, or directly to you, under certain conditions.
